Billing
Know what every hour is worth.
Turn billing on for the clients you bill. Kernel prices each time entry with the rate in effect on its work date, keeps fixed fees and payers straight, and queues the work you haven't billed.
Highlights
Rates with a history
Organization rates and project overrides take effect on a date. Billed and written-off work keeps its price when the terms change later.
Fixed fees, three ways
Bill a fixed fee as manual installments, hourly up to a maximum, or hourly with a final balance once the project is completed.
Billed in Kernel or not
Invoice the work in Kernel, record a batch you billed in another tool with its reference, or write time off with a reason.
Fixed fees
Fixed fees bill the way the contract reads.
Hourly fixed-fee methods bill actual hours at the effective rate, never past the fee. With a final balance, completing the project makes the rest of the fee billable.
- Manual installments: choose each invoice amount yourself
- Hourly up to a maximum: bill hours up to the cap, with no final balance
- Effective yield shows what the fee earned per hour of work
Payers
Bill the agency, not only the client.
A master payer, such as an agency, can receive billing for its direct client organizations. Each client can still pay for its own work.
- Every organization can always pay for its own work
- Coverage is one level deep: a master payer is never another's client
- Billed history keeps the payer the work was billed to
Good to know
- Billing tracking is off for every organization until you turn it on.
- USD, CAD, and EUR amounts stay separate; Kernel never converts or adds currencies together.
- Entries without an effective rate wait under Exceptions instead of counting as zero.
- Voiding a batch or restoring a write-off returns its work to the unbilled queue.
- Fixed-fee time still counts as effort in time reports and toward effective yield.
- Billing settings, rates, and amounts are not available to API keys.
