Invoices

Invoices that match the record.

Pick a payer and a period, load the unbilled work, and Kernel drafts the lines. Issuing freezes the document under the payer's next number, and a mistake is voided and reissued, never quietly edited.

Highlights

  • Built from recorded work

Hourly entries keep the rate and value they were recorded with. Fixed-fee installments, final balances, and custom charges or credits sit beside them.

  • Frozen at issue

An issued invoice keeps its number, lines, and PDF, even when rates, profiles, or tasks change later.

  • Numbers per payer

Each payer has its own prefix and counter across every profile and currency. Numbers never move backwards and are never reused.

Invoice settings

Profiles shape the document, payers keep the numbers.

A profile holds your business details, payment instructions, taxes, payment terms, and notes. Duplicate one for another line of work. Each draft keeps its own copy.

  • Duplicate a profile into an independent copy, then save it
  • Each payer has a unique prefix and a next number, such as NWR-0007
  • Five presentations, from individual time entries to a one-line summary

Corrections

A mistake is voided, never rewritten.

Voiding keeps the issued PDF, its number, and its history, and releases the work for a new draft. Kernel lists any entries that won't return to Unbilled before you confirm.

  • Reverse a recorded payment, with a reason, before voiding
  • Released work returns to Unbilled, priced under today's settings
  • A voided invoice stays in the list with no balance

Good to know

  • Kernel doesn't email invoices or take payments; you send the PDF and record what happened.
  • Each invoice has one payer and one currency, and amounts are never converted.
  • Taxes are named percentages from the profile, each applied once to the subtotal.
  • Drafts reserve nothing; issuing checks every source again before it claims the work.
  • Credits can't bring a subtotal below zero, and a payment can't exceed the balance.
  • Issued invoices can be shared, with their PDFs, on a client dashboard.
